2. Information collected through this website

The Stillness website does not currently contain contact forms, account registration or newsletter sign-ups.

The website is hosted using Framer.

Stillness does not currently use Google Analytics, advertising trackers or marketing cookies on this website.

If analytics, marketing tools or other technologies that collect additional information are introduced in the future, this Privacy Policy will be updated and cookie consent will be introduced where required.

Framer states that its built-in analytics does not use cookies or persistent identifiers; additional third-party tracking tools may require consent.

3. Booking a session

Online bookings are handled through a third-party booking provider.

When you make a booking, the provider may collect information such as:

  • your name;

  • email address;

  • telephone number;

  • appointment date and time;

  • service booked;

  • payment information, where applicable;

  • information necessary to manage or change your appointment.

Stillness uses this information to arrange and manage your appointment, communicate with you about your session, provide the service you have booked and administer payments where applicable.

The legal basis for processing booking information is generally the performance of the agreement between you and Stillness.

The booking provider may process your information under its own privacy terms.

The name and privacy policy of the booking provider will be added here once the final booking system has been selected.

4. Health and wellbeing information

A few days before your appointment, you will be asked to complete a short health and wellbeing form.

The form may ask for information concerning:

  • injuries, pain or inflammation;

  • medical conditions or ongoing health concerns;

  • recent surgery, injury or medical procedures;

  • relevant medication;

  • skin conditions or infections;

  • circulation or cardiovascular conditions;

  • pregnancy;

  • allergies or sensitivities;

  • areas you would like me to focus on or avoid;

  • preferred massage pressure;

  • preferences regarding essential oils.

This information is collected only to help determine whether massage is appropriate and to adapt your session to your individual needs and comfort.

Health information is considered sensitive personal data under the GDPR and receives additional protection.

Before submitting the form, you will be asked to give your explicit consent to Stillness processing the health information you provide for these purposes.

You may withdraw your consent at any time by contacting info@findstillness.nl. Withdrawal of consent does not affect processing that took place before consent was withdrawn.

If information relevant to providing the massage safely is not available, Stillness may be unable to proceed with the session.

5. How health information is stored

The pre-session health form is provided using Google Forms.

Responses are stored within Stillness's professional Google Workspace account using Google Forms, Google Drive and/or Google Sheets.

Access to this information is restricted to Stillness and is used only for preparing for, adapting and providing your sessions.

Google Workspace provides contractual data-processing arrangements for business customers through its Cloud Data Processing Addendum.

Health information is not used for advertising or marketing.

6. How long information is kept

Stillness does not retain personal information for longer than necessary for the purpose for which it was collected.

Booking and client information is retained only for as long as required to manage the client relationship and related administration.

Health and wellbeing information is retained only while it remains relevant to preparing for and safely providing Stillness sessions. Information may be deleted or replaced when it is no longer relevant, and you may be asked to complete an updated form where necessary.

Information that forms part of Stillness's legally required financial or tax administration may need to be kept for longer. Dutch businesses are generally required to retain core business and accounting records for 7 years.

7. Service providers

Stillness uses third-party services where necessary to operate the business.

These currently or potentially include:

Framer
Website design and hosting.

Google Workspace
Google Forms, Drive and Sheets are used for collecting and storing pre-session health and wellbeing information.

Booking provider

8. Sharing personal information

Stillness does not sell or rent your personal information.

Information may be shared with service providers only where this is necessary to operate the service, manage bookings, process payments, store information securely or comply with legal obligations.

Personal information may also be disclosed where required by law or by a competent public authority.

9. International data transfers

Some service providers used by Stillness may process or store information outside the European Economic Area.

Where this occurs, personal data will be handled using safeguards required under applicable data-protection law, such as adequacy decisions or approved contractual safeguards.

10. External links

The Stillness website contains links to third-party websites and services, including Instagram and Google Maps.

When you follow one of these links, you leave the Stillness website. The relevant third party may collect or process information according to its own privacy policy.

  • request access to personal information held about you;

  • request correction of inaccurate information;

  • request deletion of your information;

12. Security

Stillness takes reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse or disclosure.

Sensitive health information is kept within the professional Google Workspace environment and access is restricted.

No online system can provide absolute security, but Stillness aims to limit the personal information collected and access to that information to what is necessary.

13. Changes to this Privacy Policy

This Privacy Policy may be updated when Stillness changes the services, systems or providers it uses.

In particular, the policy will be updated once the final online booking and payment providers have been selected.

The current version will always be available on this website.
